Project Coordinator

Summary

The Project Coordinator is responsible for supporting project management initiatives and teams, as well as coordinating and updating status reports and timelines for all assigned projects. Relies on direction and mentoring from project managers/project teams to plan and accomplish goals. Projects may vary from DM, print and OOH to digital, social and broadcast.

Responsibilities

  • Assists project managers with all aspects of assigned projects from initiation to completion
  • Opens jobs and prepares job jackets with complete and actionable information for distribution to project team; coordinates kick-off meetings with all appropriate team members
  • Works with project manager to develop timelines and sets due dates for various stages of job
  • Is a champion of following process
  • Assists project manager in ensuring jobs are on schedule to meet deliverable dates
  • Manages and participates in daily/weekly status meetings with Account Service and Creative regarding jobs in progress, and communicates and distributes updated documentation and status reports to involved parties
  • Routes and secures approvals on communication materials at each stage of creative development; traffics artwork, production materials, copy, scripts, layouts and mechanicals per scheduled action dates; maintains day-to-day flow of information on jobs in Production; documents changes and revisions to projects as required
  • QC’s changes prior to routing to necessary team players
  • Proactively gathers information for upcoming agency presentations and new business pitches
  • On completion of any job, archives job jacket, both electronic and hard copy, with all relevant layouts, artwork and back-up information

Accountabilities/Required Skills

  • 2+ years experience in digital/direct mail/print/OOH in an advertising agency
  • Bachelor’s degree required
  • Strong ability to organize and work on multiple tasks simultaneously

  • Excellent written and verbal communications skills
