Project Manager


A Project Manager leads integrated projects (banners, emails, landing pages, websites, online videos, social media, direct mail, print, OOH) from inception to completion. They keep all projects on budget, on time and resourced with top-notch teams.

They work collaboratively with Account teams to manage the scope of work; they manage both internal and external creative and production resources across disciplines to ensure that the highest quality of work is delivered to our clients.


  • Collaborate with Account Management on new project intake to fully understand project scope and deliverables while determining project budget/estimate/level of effort
  • Evaluate project briefs and consult with project team to ensure budget and delivery expectations are consistent with each project scope
  • Work with Creative, UX and Production teams to develop project plans and set milestones and deliverable dates for various stages of the project
  • Work with Creative and Digital Development teams to plan resources for the project, while keeping HR looped in on any freelance needs
  • Prioritize efforts to best utilize resources
  • Discuss server security and tech specs with internal and external IT stakeholders
  • Open jobs, develop a project plan and overall project schedules working with Creative, Account, Production and Development teams
  • Set up kickoff and internal creative review meetings and facilitate status meetings
  • Proactively obtain and effectively communicate project status and next steps on a daily basis, in alignment with project plan and schedule
  • Work with Account Management to translate conference/meeting reports into actionable tasks
  • Ensure projects stay on schedule; ensure team is aware of deadlines, understands processes and has the resources to meet deadlines
  • Track issues and work with team to manage impact to project
  • Maintain and create client presentations on staging site
  • Coordinate creative development to ensure concepts are in line with creative strategy and anticipated media buy
  • Always stay on top of project scope and strategy by participating in all meetings that may impact the project
  • Manage daily or weekly status meetings with various internal teams regarding jobs in progress; effectively communicate and distribute updated documentation and status reports to all involved parties
  • Route and secure approvals on all communication materials at each stage of creative development
  • Work with Project Management team to reallocate and/or share team resources and prioritize workloads
  • Manage all development vendor relationships and maintain day-to-day flow of information on jobs in development; document changes and revisions to projects, as required
  • Manage the Quality Assurance processes with appropriate technical teams (development vendors, QA analyst, tech PM)
  • Follow through on all scheduled tasks, manage outstanding issues with team members and develop risk mitigation plans to remain on schedule and within scope
  • Enforce asset processes with production leads
  • On completion of any job, archive job jacket, both electronic and hard copies, with all relevant layouts, artwork, completion report and backup information
  • Proactively gather information for upcoming agency presentations and new business pitches
  • Coordinate and facilitate project completion meetings to analyze project efficiencies, effectiveness and learnings

Accountabilities/Required Skills

  • 4-6 years of digital and print project management experience in an agency setting
  • Strong understanding of website design best practices and interactive performance measures, including various platforms, browsers, languages and basic server issues
  • Proven track record launching and maintaining major sites
  • Experience producing complex, large-scale sites with multiple vendors
  • Experience producing rich media banners with expandability or video features
  • Proven budget management and resource allocation skills
  • Broad knowledge of website and mobile technologies, media, enterprise-level CMS and technical platforms
  • Proficient in various project management tools (JIRA, Basecamp, ProofHQ, Microsoft Project)
  • Demonstrate a keen ability to manage details and multitask
  • Strong ability to organize and work on multiple tasks simultaneously
  • Proactive, independent thinker
