Office Manager

This position is the face of our company. Primary responsibilities include handling all incoming calls, greeting visitors, managing office needs and being the technical liaison with vendors.

Responsibilities

• Manage general organization of office space
• Represent our agency well by ensuring all calls are answered in a friendly, professional and warm tone, and all visitors are greeted and feel welcomed
• Coordinate office catering and lunches for internal meetings
• Assist with office supply budget and track expenses
• Oversee office supply inventory levels
• Maintain Quigley-Simpson office brand look and feel
• Organize prospective client visits (signage, parking, lunches)
• Purchase kitchen items on a weekly basis
• Collect and distribute mail
• Assist New Business team when clients visit our office
• Manage holiday mailing lists and set up holiday decorations
• Coordinate monthly meetings and organize snacks
• Oversee kitchen supplies: vending machine, utensils, paper towels, tissues, coffee, etc.
• Liaison between the office and building management as well as the handyman when needed
• Make sure lights are turned off, all shared office space is clean (conference rooms included), drawers are locked prior to leaving for the day

Education and Experience

• 2-plus years’ experience managing a fast-paced office, including being the face of the company
Proficiency at Microsoft Office, including Outlook, Word, Excel and PowerPoint is helpful
